Start with the guest count
Guest count has the clearest effect on the total. It changes food quantities, staffing, service equipment, tableware, and the time needed for setup and cleanup. Even an early estimate helps your caterer recommend the right format.

The published per-person prices on our catering menu are based on a 50-person minimum. Events with fewer than 50 guests receive a custom price based on the menu, location, and service needs.
The five choices that shape a quote
1. The menu
Ingredients and preparation methods matter. A pasta-centered buffet and a dinner built around premium beef do not have the same food cost or kitchen demands. Adding appetizers, extra entrées, desserts, or special selections will also change the total.
2. Service style
A buffet, plated dinner, family-style meal, and cocktail reception each require a different service plan. Plated service commonly needs more hands in the room, while a buffet needs the right amount of serving space and a good plan for moving guests through the line.
3. Venue conditions
A complete onsite kitchen is different from a remote outdoor venue. Access to refrigeration, hot holding, water, electricity, prep space, loading areas, and waste disposal affects what the team must bring and how early setup begins.
4. Staffing and timing
The length of service, number of courses, cocktail hour, guest arrival pattern, and cleanup requirements determine the labor plan. A clear event timeline helps prevent both overstaffing and last-minute surprises.
5. Rentals and event details
Ask what is included and what is separate. Plates, flatware, glassware, linens, serving pieces, tables, and kitchen equipment may be supplied by the venue, caterer, rental company, or a combination of all three.
How to compare catering proposals
Do not compare only the number at the bottom. Look for the menu, service window, staffing, setup, cleanup, rentals, taxes, travel, and any venue-specific charges. Two proposals with similar per-person food prices may cover very different levels of service.
